Our virtual teams journey

About a year ago we were doing everything ourselves, we were control freaks and everything was down to us, under our control and we were quite happy with that responsibility.

When we start out we have to learn to do everything ourselves and not rely on others, and it’s really hard to unlearn those habits.

And that’s where we were…

BUT… we were frustrated because we wanted to do more, we wanted to up our game, make more content, take on new projects, grow our business and we were really struggling to find the time to do everything we wanted to do.

We were really organised, but no matter how ‘on it’ we were, we always felt crushed under the huge amount of tasks that we had to do each and every week and overwhelmed by all the things that we weren’t doing and focusing on.

We knew we had to do something about it, we needed more time…

People kept telling us that we needed to hire someone or outsource some stuff but we weren’t really comfortable with that.

Hiring someone full time wasn’t something we wanted to do because we’d need a superhuman that was good at everything and we didn’t want another person in the office with us… plus it’s expensive, etc.

And we weren’t too keen on hiring a virtual assistant either, it just seemed like an unnecessary cost for something we could do ourselves…

But we had to do something!

Start small

So we started with just one thing… video editing 📹 It was taking us about 4 hrs a week, which is a lot of time when you add it up each month.

We actually really loved editing our videos and we honestly thought no-one could do it better than us, keeping in our humour… but we bit the bullet and did it anyway…

We got introduced to the perfect video editor, Christina, who is wonderful! And the process is really smooth, we simply record, send the raw footage to her via Dropbox and within a few days we can proof it.

Boom! 💥That easy! We had just saved ourselves 4hrs a week! That’s like 16-20hours a month!

So pretty much two whole days we got back.

And it turns out, she was much better than us at editing 😆 She kicks our ass at it, and our retention rates even doubled because of it!

So not only are we saving time, we’re also putting out better content! But here’s the important part and it’s the magic formula to outsourcing…

That time we saved gave us the ability to work ON our business and not IN our business to make much more money than we were spending, and that’s the key 🗝

The magic formula

Let’s look at the magic formula for virtual teams.

If we say video editing takes us 4hrs a week, but takes our video editor 2hrs because they’re better at it, and they cost £50/hour, that’s £400 a month.

But we save 4hrs a week, and let’s say we charge £50/hour. If we can fill our time with paid work, or income generating activities, that means we can make £800 extra a month, which is £400 profit each month.

If you charge more like £300/hour, you would make an extra £4,000 profit each month!

Now £50 is on the pricey side, but video editing is a specialist skill. You’re probably looking at much cheaper than that for other outsourced tasks.

And you can repeat this process with everything you do. We now have a community manager for our membership site ATOMIC, an operations manager helping us with our conference, AND a content manager that helps us create and promote our free content – all on monthly retainers saving us SO MUCH time.

We have other people too on more project-based tasks, all there to help us not only save time and do a better job, but also to enable us to make more profit 💰
